Onboarding in a hybrid team: use your G.P.S.

The hybrid world is here to stay. That much is obvious.

What is far less obvious is how to lead a team when some people sit at the office and others work from home. Meetings run fine. Projects move forward. Yet something quietly goes missing: the sense of being one team.

When we ask managers where this gap hurts most, one answer comes back again and again: welcoming new team members. A newcomer who joins a hybrid team can spend weeks seeing colleagues only as small squares on a screen. They learn the tools quickly, but not the people, the habits or the unwritten rules.

To make that transition smooth, Nexus recommends you set your G.P.S.:

Global, Peer and Sustainable onboarding.

G = Global Onboarding: show the whole picture

A newcomer needs to understand where they have landed before they can find their place in it. Present your company as a whole, not just the desk they will sit at.

  • Share the big picture. Walk them from the company mission down to the department goals. This is how they grasp the DNA of the organisation: its identity, its culture, its internal structures and how decisions get made.
  • Make it engaging, wherever they are. Offer a virtual tour of the premises, record a short welcome video, or create an interactive quiz about the company’s history. Remote newcomers then get the same first impression as those on site.

P = Peer Meeting Onboarding: put faces to names

People join a company, but they stay for a team. The faster a newcomer builds real relationships, the faster they contribute.

  • One-to-one with every team member. Whether the newcomer is on site or online, schedule a short 1-1 with each colleague. Nobody should remain “the name in the cc line” for months.
  • Open the doors beyond the team. Arrange exchanges with key partners in other departments, and even outside the organisation, so the newcomer understands how their role connects to the rest.
  • Celebrate. When possible, hold a fun team moment on arrival day, and mark the end of the trial period together. Small rituals send a big signal: you belong here.

S = Sustainable Onboarding: keep the connection alive

Onboarding does not end after the first week. In a hybrid team, where chance encounters at the coffee machine are rare, connection has to be built on purpose.

  • Invest in human connection. Interpersonal bonds are what turn a group of individuals into a team. In the hybrid world, they are more essential than ever.
  • Book follow-ups in advance. Put regular check-ins in the calendar before the newcomer even starts, especially for the first three months. Planned time protects the relationship from busy weeks.

Beyond onboarding: bring the whole team together

A good G.P.S. helps one person find their way. But every new arrival changes the team itself: roles shift, habits get questioned, and the old balance has to be found again. Hybrid work makes this harder, because the team rarely experiences anything together.

That is where a dedicated team day makes the difference. A training or a retreat gives your team time, away from daily tasks, to:

  • get to know each other beyond job titles and screens,
  • clarify how you want to work together, on site and remotely,
  • build the trust that makes collaboration smooth,
  • and leave with concrete agreements, not just good memories.

At Nexus, we design and facilitate team building and training days for Swiss companies, tailored to where your team stands today. Our goal is simple: help managers turn a group into a team.

Your turn

Take a moment to reflect on your own practice:

  • What is your approach to welcoming a new team member?
  • How do you show your attention to new staff, whether they sit next to you or work from home?
  • When did your whole team last spend quality time together, beyond meetings?

If the last question made you pause, let’s talk.

Contact Nexus to plan a training or retreat for your team, or start with our Team check-up to see where your team stands today and what would help it grow stronger together.
